Email archiving with IMAP to a local PC is crucial for several reasons, particularly for businesses and individuals who need to manage their email data effectively.

  1. For offline access
  2. Freeing up hosting account or server storage
  3. Cost efficiency

If you're using Outlook:

  1. Go to File > Account Settings > Data Files tab > Add a new datafile (.pst) at your local PC, example Archive.pst.
  2. Close the Account Settings, you will see a new folder location at left hand folder pane in outlook, namely Archive.
  3. Right click the Archive, and create new sub-folder, for whatever name at your convenience.
  4. After creating the Archive sub-folder, you can now drag and drop any emails that you want to archive TO your local PC. These moved messages will then be automatically REMOVED from the server.

This can save storage space and allow you to continue using IMAP features.
